LSA Bed Inventory Tool

This tool has allowed our implementation to quickly identify discrepancies between two data sources that should generally match. With a few simple steps, the tool generates comparison data between the submitted Housing Inventory Count (HIC) and HMIS Bed and Unit Inventory information. It works its magic behind-the-scenes and presents the information in a way that is clear, concise, and actionable without requiring high technical knowledge or skills. Are you frustrated with your “Comparisons with the HIC: BED Counts” LSA Warnings?

We’re offering a tool that might help!

The purpose of this application is to help HMIS Leads/system admins clear their “Comparisons with the HIC: Bed Counts” Errors and Warnings in the LSA submission process. These are discrepancies between bed inventory records in HMIS and the corresponding bed inventory records as submitted in the HIC via HDX 1.0.

Simply upload your 2023 HIC submission and three of your LSA files (Project.csv, Inventory.csv, and HMISParticipation.csv) and the tool will provide you with project-level bed disagreements, as shown here:

ICA system admins have been working with this tool for the past few LSA cycles. When we learned that HUD wasn’t going to provide any additional tools for this section of the LSA flag file this year (or last year), we decided to share our tool with the greater HMIS Lead community. (NOTE: Video is from FY2022. The LSA specs have changed, and now the additional file HMISParticipation.csv is also required.)

This tool has been tested and validated with LSA exports from multiple, but not all, HMIS software vendors. Discrepancies in file programming and formatting between vendors may result in unexpected errors. Please contact info@icalliances.org for help resolving such issues.

One general license is good for up to 3 users in one HUD-designated CoC.

Detailed Description of Tool Output

  • Summary data and tables

    • Table: Beds Summary Table, comparing the differences between your HMIS beds (from Inventory.csv) and your HIC beds

    • Summary Count: Total number of providers in HMIS, but not in your HIC

    • Summary Count: Total number of providers in HIC, but not in HMIS

    • Summary Count: Total number of providers that are in BOTH files, but with bed discrepancies between the two files.

  • Detail tables

    • Providers in HMIS, but not in your HIC

    • Providers in your HIC, but not in HMIS

    • Providers with bed discrepancies between HMIS and HIC

    • All providers with errors and summary of errors

  • Additional filterable tables for providers with bed discrepancies:

    • Copy of Provider error summary table

    • HIC bed inventory detail - basis

    • HMIS bed inventory detail – basic

    • Sub-population bed inventory detail (HIC and HMIS data)

  • The option to download all error detail tables into an .xlsx document
